Book the 10 PM consult before she books someone else.
Aesthetic clients research at night, on their phones, across several practices. Patient Concierge answers treatment and pricing questions from your approved menu, books consults into Boulevard, Zenoti, Vagaro or Mangomint, sends a deposit link in the conversation, and hands every clinical question to your licensed team.
Where med spa revenue leaks.
The evening research window
Prospective clients browse treatments after work. If the answer to “how much?” is “call us tomorrow”, they call someone else tonight.
Inquiries that never get a reply
CallRail's 2025 benchmark (vendor data) found 32% of healthcare calls missed. DMs and forms pile up while the front desk looks after the clients in the room.
Bookings that never show
A booking link with no deposit is easy to ignore. A 2026 review of five med spa AI receptionists found none that took a deposit during the conversation. Source
What we build for your practice.
- Treatment pages where you need them. Pages built around the questions clients actually ask, added only where your current site can't carry the booking
- A concierge trained on your menu and policies. Price ranges, packages, memberships, prep and aftercare, deposits and cancellation policy, all from text you approve
- Booking and deposits in one conversation. Consults go straight onto your booking platform, with a payment link for the deposit, confirmations and reminders
- Rebooking and reactivation. Consented nudges when a client is due for their next treatment, so retention doesn't depend on memory
Your booking platform may already include an AI receptionist. If it's good enough, we configure it and add deposits, CRM, compliance and reporting around it. Integrations depend on each platform's API access; we confirm yours during the analysis.
Guardrails built for aesthetic medicine.
The concierge stays administrative: scheduling, prices and logistics. That keeps it out of medical advice, inside California's AB 3030 scheduling exemption, and away from health data it doesn't need.
No medical advice, ever
Candidacy, contraindications and side effects go to your providers, with the consult booked so the conversation actually happens.
Health details stay out of chat
A notice asks clients not to share health details, and stored transcripts are filtered. If health information could be in scope, every vendor signs a BAA first.
Only approved pricing
The concierge quotes the ranges and specials you've approved, and nothing else.
Payment links, never card numbers
Deposits go through a secure payment link. Card details are never typed into chat.
Your policies, every time
Deposits, cancellations and age requirements are applied the same way in every conversation.
Says it's AI from the first message
Licensed practices face stricter disclosure rules in some states. Ours discloses by default and offers a person anytime.
What are missed and slow inquiries costing you?
Starting assumptions for med spas are loaded. Move the sliders to match your business; the analysis replaces them with measured numbers.
Assumes half of missed inquiries never convert and an always-on front office wins back 40% of the leak. Defaults are illustrative; your measured numbers will differ.

14 to 30 days live after hours with a written target and a scorecard. Credited to your Build.
Intake design, concierge, integrations, consent engine and measurement. Or spread the balance at $375/mo for 12 months.

BAAs where health information is involved, retention controls, audit logs and a diligence pack you can file.
Flat monthly pricing. BAAs are available where health information is involved.
Every month you get a report from your own software against the targets in your plan, with misses explained. We don't offer guarantees yet; we'll base them on measured client results. How we measure.
Patient Concierge FAQ.
Or ask Pixel. It's the same kind of agent we'd build for you, and it will hand you to a person if you ask.
Can the concierge give treatment recommendations?
It can explain your treatments, what they're for and what to expect, using material your providers approve. It won't decide whether someone is a candidate or give medical advice. Those questions go to your providers, and the concierge books the consult.
Does it work with our booking software?
We connect to the major med spa platforms where they offer API or calendar access, and use calendar sync or booking links where they don't. If your platform's own AI receptionist is good enough, we configure it instead. We confirm your exact setup during the Missed Revenue Analysis.
Is it HIPAA compliant?
Compliance depends on your whole setup, not one tool, and no product is "HIPAA certified". We keep the concierge administrative so it shouldn't collect health information, sign a business associate agreement with you, and require one from every vendor in the chain if health information could be in scope. Your compliance advisor has the final word.
Can it take deposits?
Yes. It sends a secure payment link in the conversation, so the booking is secured before the client leaves the chat. Card numbers never go through chat.
Can it answer Instagram DMs too?
The core build covers your website, text and phone. Extending the same concierge to Instagram DMs can be scoped into your build where the platform allows it.
What does it cost?
A Proof Sprint is $1,500, runs against a written target and is credited to the Build. Builds start at $6,000, and you can spread the balance over 12 months. Most single-location practices start on Care at $500 a month plus the Compliance Pack at $500; Grow at $1,500 adds listings, reviews and AI-search work when your leak can carry it.
Do you charge per booking or per patient?
No. Per-patient payments can raise fee-splitting questions under state law, so med spas pay flat, published fees.
Every unanswered DM is a client booking somewhere else.
Book a free Missed Revenue Analysis for your practice. We'll test your after-hours response, size the leak, and show you the concierge that closes it.
